Staff Availability, Holidays & Closures

How to set each staff member's weekly working hours, add salon-wide holidays, and block off one-off closures so customers only ever book open slots

There are three separate settings that control which appointment times customers can book: each staff member's weekly schedule, your salon's recurring holidays, and one-off closures. Together they decide exactly which time slots show up as open on your booking calendar.

Setting a staff member's weekly working hours

Each staff member has their own weekly availability — this is what makes it possible for one stylist to work mornings and another to work evenings, for example. There are two places this comes up: when you first add someone to your team, and afterwards whenever you need to change their hours.

When you add a new team member

On the Staff page, start adding a team member (or open the Add Team Member button if you already have staff). Fill in their name, role, and email as usual.

Open Phone, specializations, work media & availability to reveal the extra fields, and scroll to the Calendar availability section. It lists all seven days of the week, pre-filled from your salon's opening hours.

For each day, set a start time and end time for when that person is working, or toggle the day off to mark it as their Day off.

Tap Add Team Member → to save. The booking calendar immediately reflects these hours — customers will only see open slots for that staff member within the hours you've set.

A staff member's hours can never go outside your salon's own opening hours for that day. If you try to save hours that start earlier or end later than the salon is open, the field is highlighted and the save button won't let you continue until it's fixed.

Changing an existing staff member's hours

Editing a staff member's profile (name, role, specializations, photo, and so on) on the Staff page does not let you change their weekly hours — for that, go to the Bookings page instead:

Go to the Bookings page and open the Staff availability section.

Choose the staff member you want from the Staff member dropdown at the top.

In the Weekly schedule box, toggle each day on or off and adjust the start/end time for the days they work.

Tap Save schedule. If any day's hours fall outside your salon's operating hours for that day, the button is disabled until you fix it.

One-off exceptions for a single staff member

Sometimes a staff member needs a single day changed without touching their regular weekly pattern — for example, they're taking a day off next Tuesday, or picking up an extra shift on a day they're normally off. This is a date override, and it lives in the same Staff availability section on the Bookings page, next to the weekly schedule, under Date overrides.

  1. With the right staff member selected, tap Add override.
  2. Pick the date (you can't pick a date in the past).
  3. Use the Available on this day? toggle to either mark the date as unavailable (a day off, holiday, sick day, etc.) or leave it on and set custom start/end times just for that date.
  4. Add an optional Reason explaining why (e.g., "Vacation," "Public holiday," "Training day").
  5. Tap Add override. That date now follows the override instead of the normal weekly schedule — every other date is unaffected.

You can remove an override at any time, which simply puts the regular weekly schedule back in effect for that date.

Salon-wide holidays

Holidays block bookings across your entire salon — every staff member, every service — on a specific date or date range, every year or just once. Use this for things like Christmas Day, New Year's, or other days your business is always closed.

Go to the Holidays page and click Add Holiday.

Give it a name (for example, "Christmas Day") and pick whether it's a single day or a date range (useful for something like a Christmas break from December 24 to January 2).

Choose whether it's Recurring (happens automatically every year — the year itself is ignored) or One-time (applies only to the specific year you pick, such as a holiday that falls on a different date each year).

Save. The holiday is added to your list, split into "Recurring — every year" and one-time entries, and the salon calendar is automatically blocked for those dates.

To remove a holiday, click remove next to it in the list — this also clears any calendar blocks that holiday created, for every affected year.

Holidays are the easiest way to block recurring dates like public holidays, because you only have to set them up once and they keep applying every year without any extra work.

One-off salon closures

Closures block your whole salon for a specific date range that isn't a recurring holiday — a vacation, an emergency repair, a one-time event, or any other day (or stretch of days) your salon simply can't take bookings.

Go to the Bookings page and open the Closures section, then tap Add closure.

Pick a start date and end date (use the same date for both if it's just a single day) and, optionally, add a reason like "Annual vacation" so your team remembers why the salon was closed.

Save. Every date in that range is now fully blocked for booking, for every staff member.

Closures created from a holiday are shown in the same list but can't be removed individually — remove the holiday itself (from the Holidays page) to clear those dates.

A closure blocks the entire salon. If you only need to block one staff member's day rather than the whole business, use a date-specific override on that staff member instead.

How these settings affect what customers can book

  • A time slot is only bookable if it falls within a staff member's working hours for that day (from their weekly schedule, or an override if one applies to that date).
  • If a date is a holiday or falls inside a closure, no one can be booked that day, regardless of individual staff hours.
  • Past times are never bookable — once a time slot has started, it drops off the booking calendar for customers (your front-desk team can still record a walk-in after the fact).
  • If every slot for a staff member or day is taken, the booking calendar shows it as fully booked so customers know to pick another day or stylist.
