Managing Bookings

How to view your appointment calendar, move a booking through confirm, reschedule, cancel, complete, and no-show, record a walk-in, and control booking confirmation and the advance booking window

The Bookings page is where you and your staff see every appointment and manage it from the moment a customer books through to after their visit.

Viewing your bookings

The Bookings page gives you a calendar view of all appointments, along with quick counts at the top for Appointments, Pending, Confirmed, and Completed, so you can see at a glance how busy the salon is and how many bookings still need attention. You can click any of these counts to filter the list down to just that status.

Each appointment shows the customer's name, the service booked, the assigned staff member, the time, and a colored status badge:

StatusWhat it means
PendingA new booking that hasn't been reviewed/confirmed yet
ConfirmedYou've accepted the appointment
CompletedThe customer's visit happened and the service was delivered
CancelledThe appointment was called off
No-showThe customer didn't show up for their appointment

Click on any appointment to open its details and see the available actions.

Moving a booking through its lifecycle

Confirm. When a new booking comes in as Pending, review it and click Confirm to accept it and let the customer know it's locked in.

Reschedule. If the date, time, or staff member needs to change — whether the customer asked or a staff member's schedule changed — click Reschedule on a Pending or Confirmed booking. Pick the new date, time, and/or staff member; the appointment's end time is recalculated automatically based on the service's duration. You can add a note explaining the change (for example, "Rescheduled due to staff unavailability").

Cancel. If the appointment needs to be called off entirely, click Cancel on a Pending or Confirmed booking.

Complete. Once the customer has come in and the service is finished, click Complete on a Confirmed booking to mark it as done.

No-show. If a Confirmed appointment's time comes and goes without the customer showing up, click No-show to record that instead of leaving it Confirmed.

Once a booking is Cancelled, Completed, or marked No-show, it's considered finished — you won't see further action buttons (confirm/reschedule/cancel/complete/no-show) on it, since those only apply to upcoming appointments that still need attention.

Deleting a booking

If a booking needs to be removed from your records entirely (rather than just cancelled), you can delete it from the booking's details. This is a permanent action, unlike cancelling, which just changes its status while keeping it in your history.

Deleting removes the booking completely — use Cancel instead if you just want to mark it as called off while still keeping a record of it.

Recording a walk-in

Your front desk can also create a booking directly from the Bookings page for a walk-in customer:

  1. On the Appointments section's Day calendar view, click the empty time slot for the stylist and time you want — a Book label appears as you hover over an open slot.
  2. In the New appointment window, choose the Service and Stylist.
  3. Enter the customer's name, and either their email or phone number (you can switch which one you're entering).
  4. Add an optional note, then click Create appointment.

Unlike the public booking page, staff aren't blocked from logging an appointment for a time slot that's already started, which makes it easy to record a same-day walk-in after the fact.

Booking settings

The Settings section of the Bookings page controls two things that shape how customers can book online:

  • Booking confirmation. Turn on Require manual confirmation and every new online booking is created as Pending, waiting for you to confirm it. Leave it off and new bookings are confirmed automatically with no action needed from you.
  • Advance booking window. Choose how far ahead customers are allowed to book: 1 month, 2 months (the recommended default), 3 months, or 6 months. Dates beyond this window simply won't appear as options on your public booking page.

Tap Save settings to apply your changes.

Completing a booking (marking it Completed) also emails the customer an invitation to leave a review, if they gave an email address when booking.
