Logging In & Your Schedule

How to sign in to your Staff Portal, check your upcoming appointments, and keep your availability up to date.

Your Staff Portal is your own private space to see your appointments, update your profile, and let your salon know when you're off. This guide walks you through signing in and keeping your schedule current.

Signing in

Open the Staff Portal sign-in page. You'll see a Sign in to Staff Portal screen with a button that says Sign In.

Click Sign In. You'll be sent to a secure sign-in page to confirm who you are, and then brought straight back to the Staff Portal.

If your email is linked to staff accounts at more than one salon, you'll land on a Select your account screen listing every salon you work at. Tap the one you want to open. (If you only have one account, you're taken straight into the portal — there's nothing to pick.)

You can always switch between your salons later, from inside the portal, using the salon name shown in the top bar — click it and pick a different salon from the list, no need to sign out first.

While you're signed in, the portal quietly keeps your session alive in the background — you may briefly see a "Session renewed" notice near the top of the screen. If your session has fully expired (for example, you left the portal open for a very long time), you'll simply be asked to sign in again.

Finding your way around

Once you're signed in you'll land on your Dashboard. The menu on the left (tap the menu icon in the top-left corner on a phone) gives you quick access to:

  • Dashboard — your portal's home screen
  • My Profile — your name, phone number, bio, specializations, profile photo, and your availability toggle
  • My Work Media — photos and videos of your work shown on your salon's public website
  • My Appointments — every booking assigned to you
  • My Holidays — the days you've blocked off

The top bar also shows your name and role, and a Sign out button you can use from either the top bar or the bottom of the side menu.

Viewing your upcoming appointments

Go to My Appointments in the side menu. This page lists every booking that's been assigned to you, across all dates and statuses, newest first, so you can see what's coming up as well as what's already happened. Each entry shows the customer's name, the date and time, their email (and phone number and any booking notes, if they left any), and a colored status tag: Pending, Confirmed, Completed, Cancelled, or No-show.

Use the row of filter buttons above the list — All, Pending, Confirmed, Completed, Cancelled, No-show — to narrow the list down to just one status at a time.

Setting your availability

There are two ways to control when customers can book you:

Turn booking on or off

Open My Profile, click Edit, and find the Available for booking switch near the bottom of the edit form. Turning it off tells the salon's booking system that customers currently cannot book you at all (useful if you're off rotation for a while) — the form says "This staff member will not appear in the booking calendar." Turn it back on whenever you're ready to take appointments again, and click Save changes. See Your Profile & Work Gallery for the full walkthrough of the edit form.

Book specific days off

For individual days or a longer break, use My Holidays in the side menu. It lists your blocked days under two headings, Upcoming and Past, each showing the date and your reason (if you gave one), with a trash-can icon next to every entry so you can remove it at any time.

On the My Holidays page, click Book day off (top-right of the "My days off" card). A Book a day off window opens.

At the top of the window, choose Single day (the default) for one date, or Date range to block off several days in a row (for example, a week of annual leave).

For a single day, pick the Date. For a date range, pick a Start date and an End date — as soon as both are set, the form tells you how many days will be booked off.

Optionally fill in Reason (it's marked optional) — for example "Annual leave" or "Personal day" — so your manager knows why you're out.

Click Book day off at the bottom of the window to save it. The date(s) immediately disappear from your available booking slots, so customers can no longer book you on those days.

Booking a day off does not automatically cancel any appointments you already have on that date. If you already have bookings on a day you're now taking off, let your manager know so they can reschedule your customers.

You can remove any day off — upcoming or past — at any time from the My Holidays page by clicking the trash-can icon next to it; removing an upcoming day off immediately makes you bookable again on that date.

My Profile and My Work Media cover your display name, phone number, bio, specializations, profile photo, and the gallery of work photos/videos shown on your salon's public website. These are documented in detail in Your Profile & Work Gallery.

Also on My Profile, you can update your display name, phone number, specializations (the services/skills you're known for), your profile photo, a short bio, and a gallery of your work — all of which can appear on your salon's public website. Your email address, role, and account status are managed by your salon's admin and can't be changed from here.
